How to Write a Schengen Visa Cover Letter: UK Guide and Sample

A useful Schengen visa cover letter explains the trip you are actually planning and helps the reader connect it with your supporting documents. For a UK-based applicant, it can bring together your travel purpose, proposed dates, funding and residence circumstances in one clear account.

Last checked: 11 October 2026. The structure below is a writing aid, not an official form or a guarantee of approval. Check whether your destination requests a cover letter and follow any instructions about its content. A personal letter should not be used in place of required employer, sponsor or invitation documents.

What to put in a Schengen visa cover letter

Write plainly and keep the details consistent with your application. This suggested structure is designed to help organise the explanation:

  1. Your identity and application purpose: who is applying and why you intend to travel.
  2. Your proposed journey: arrival, departure, destinations and planned activities.
  3. Your accommodation: where you expect to stay and the supporting evidence included.
  4. Your funding: who pays and which documents explain that arrangement.
  5. Your UK circumstances: the relevant work, study, residence or family context.
  6. Any point needing explanation: a short, factual account backed by evidence.
  7. An enclosure list: the documents accompanying the letter.

Include only information that is relevant to your application. Do not copy claims about employment, income or family responsibilities that do not describe your own circumstances.

An editable sample for a UK-based tourist applicant

Replace every bracketed item with accurate details, or remove sections that do not apply. Use the consulate’s requested format and sign the letter if instructed. The sample below is original guidance from Trip2Go and uses placeholders rather than a customer’s information.

[Date]

To: Visa Section, [Responsible Consulate]

Subject: Tourist visa application - [Full name]

Dear Visa Officer,

I am applying for a short-stay visa to visit [destination or destinations] for tourism from [arrival date] to [departure date]. I am a national of [country] and currently reside in the United Kingdom with [accurate residence status].

My proposed trip includes [brief description of places and activities]. My itinerary sets out the dates in each location and the planned transport between them. I intend to stay at [accommodation details], as shown in the supporting evidence.

The trip will be funded by [myself or named sponsor]. I have enclosed [documents that accurately demonstrate this arrangement].

My circumstances in the UK are [relevant employment, study or other factual context]. After the visit, I plan to return on [date] to [accurate reason or commitment supported by the file].

[If necessary, give a brief explanation of a specific circumstance and identify the supporting document.]

I have included the documents listed below for consideration with my application. Please let me know if further information is required.

Yours faithfully,

[Full name]

Enclosures: [Your actual list of submitted documents]

Before using the sample, compare it with your destination’s checklist. The European Commission application guidance describes evidence of travel purpose, funding and accommodation; your letter should explain the actual evidence you supply, not promise documents that are missing.

A simple itinerary outline

An itinerary should make the route easy to follow. The following fictional outline illustrates a format; it is not a recommendation about which consulate to apply to or which bookings to purchase.

  • Day 1: arrive in [city], travel to [accommodation] and settle in.
  • Days 2-3: visit [planned attractions or activities] and stay in [city].
  • Day 4: travel from [city A] to [city B] using [planned transport].
  • Days 5-6: continue the visit in [city B] with accommodation at [property or host].
  • Day 7: depart from [airport or station] and return to the UK.

Replace day numbers with dates when preparing your own file. Check that the itinerary and letter agree on every overnight location and the final departure.

Mistakes to catch before sending the letter

Leftover template details: search for brackets, placeholder names and dates from someone else’s example.

Different trip dates: compare the letter with the form, travel evidence, accommodation and insurance documents.

Unexplained funding: state the real arrangement clearly and identify the supporting evidence, including sponsorship where relevant.

Claims without evidence: remove statements that exaggerate your circumstances or imply guaranteed approval.

Too much unrelated detail: focus on the proposed trip and relevant evidence rather than turning the letter into a personal history.

Common questions about the cover letter

Is a cover letter compulsory for every application?

Check the responsible consulate’s instructions. Do not assume every destination or purpose has an identical requirement.

Can I use the same letter for another trip?

You can reuse the structure, but review every factual detail for the new application. The dates, destinations, funding and supporting documents may have changed.

Will a professionally written letter guarantee approval?

No. The letter is one part of the file. The consulate considers the application and makes the decision.
