If you are planning a Schengen trip from the UK, you may wonder whether to pay for flights and hotels before your visa decision. The useful first step is to check exactly what your destination requires, then review the financial risk of each booking.

Flight reservation or paid ticket: check the destination

A reservation records a proposed journey; a paid ticket involves a purchase. The document accepted for an application is not identical across every destination or situation.

The Netherlands official tourism checklist, for example, says applicants may provide a travel reservation or other evidence of travel plans and do not need a paid ticket. The German Embassy’s UK checklist requests reserved return transport and suggests considering a fully refundable ticket because a complete application does not guarantee approval.

These are destination examples, not a rule that every consulate accepts every reservation. Read the checklist for your travel purpose and confirm unclear requirements with the responsible authority before spending money.

What to review in your flight evidence

Check whether the document clearly relates to your intended trip. For your own preparation, compare:

  • The passenger’s name with the application and passport.
  • Departure and return dates with the itinerary.
  • Entry and exit points with the places you plan to visit.
  • Any booking expiry date with your preparation timeline.
  • The document format with the consulate’s instructions.

An itinerary you typed yourself and a provider-issued reservation are different documents. Do not assume one can replace the other when the checklist specifies a particular form of evidence.

Hotel bookings and accommodation evidence

Where hotel evidence is needed, review the guest details, property address and stay dates. For a multi-city trip, map each overnight stop to the corresponding accommodation record so there are no unexplained gaps.

The Netherlands accommodation requirements provide a useful example: hotel or rental accommodation evidence should cover the trip. If you are staying with a host, check the private-visit requirements for the destination instead.

Do not reserve accommodation in a different city simply because it is cheaper if it does not reflect where you intend to stay. The itinerary, transport and accommodation should describe one plausible journey.

Read cancellation terms before paying

The words ‘flexible’ and ‘refundable’ are not enough on their own. Open the actual fare or rate conditions and check:

  1. Whether cancellation returns money, provides credit or involves a fee.
  2. The deadline and time zone for cancelling a hotel reservation.
  3. Whether date changes are allowed and whether a fare difference applies.
  4. When payment is taken and whether a deposit is refundable.
  5. Which company handles amendments or refunds.

Save the conditions that apply when you book. A visa delay or refusal does not automatically change a supplier’s refund rules.

A practical order for planning your trip

First, decide your genuine itinerary and check the relevant consulate’s requirements. Next, compare travel options and booking conditions. Prepare the evidence the checklist requests, then review dates and names across the application file before submission.

If a supplier confirmation is time-limited, understand what happens when it expires. Ask the authority or provider about anything unclear rather than relying on a screenshot, an unsupported guarantee or a document that does not represent a genuine arrangement.

Common questions about bookings before a visa decision

Must I always buy a non-refundable flight ticket?

Do not treat that as a universal requirement. Check the destination checklist and ask the consulate about any ambiguity. Consider the potential loss before choosing a non-refundable fare.

Does a refundable hotel booking guarantee a visa?

No. Refundability concerns the supplier’s terms. It does not determine whether the consulate accepts the evidence or grants the visa.

Can I change my plans after preparing the documents?

Changes may affect several parts of your file. Review the relevant instructions and make sure your application accurately reflects your plans; do not leave conflicting dates or locations unexplained.
